Should we start with HACCP or ISO 22000?
HACCP first if you run kitchens and outlets. It is quicker to roll out, understood by local inspectors, and gives you the hazard analysis and critical limits that everything else builds on. ISO 22000 wraps that in a management system with supplier control, traceability and improvement, which is what corporate clients and franchisors ask about. Operators packing food for retail sale usually need FSSC 22000.
Does one certificate cover a hotel with several restaurants?
Yes, where they share management and one system. The certificate names the property and the activities in scope, and the audit samples outlets rather than covering every station in every kitchen each year. A central production kitchen serving other properties is different, because its risk profile is manufacturing and it usually needs assessing as such.
Our brand licence requires proof we can keep trading after an incident. What covers that?
Business continuity certification. It requires an impact analysis showing how long each part of the operation can be down, alternate arrangements for kitchens, rooms and events, tested evacuation and relocation plans, and a communication protocol for guests and media. Insurers and franchisors read the exercise record more closely than the plan, because that is what shows it works.
How does certification affect insurance?
It gives the underwriter something to price against. Recorded fire drills, maintained extraction and suppression systems, investigated incidents and a continuity plan that has actually been exercised all reduce uncertainty at renewal. It does not guarantee a lower premium, but venues with a certified safety and continuity system generally negotiate from a stronger position after a claim.
We use a booking platform and an outsourced marketing agency. Whose responsibility is guest data?
Yours, primarily. Privacy law places the obligation on the business deciding why and how guest data is used, and handing it to a platform or agency does not transfer that duty. You need contracts setting out what they may do with it, evidence of their security, retention limits that are enforced in practice, and a guest request route that does not stall at the agency.
How much does the audit disrupt service?
Very little. Auditors work around service periods and spend most of their time back of house, in goods-in, storage, preparation areas, plant rooms and records. Expect them in the kitchen during prep and service, because that is where controls are visible. For a single venue, on-site time is typically one to three days across both stages.
