ISO 20121 Sustainable Events Management the answer to every RFP sustainability section

Corporate event buyers now ask what system sits behind the sustainability promises in a proposal. ISO 20121 certifies that an event organiser, venue or supplier manages waste, energy, sourcing, accessibility and community impact through a system that is audited, rather than through commitments written into a bid and forgotten at bump-in.

You need ISO 20121 if…

  • !A conference RFP asks for evidence of a certified sustainable event management system, not a policy statement.
  • !A corporate client wants waste diversion and delegate travel data reported after the event, not before it.
  • !Your venue is bidding for association congresses where sustainability scoring decides between two similar quotes.
  • !A sponsor has attached environmental clauses to the contract and someone has to show they were met.
  • !Single-use plastics, food waste and generator fuel are drawing questions from local authorities and residents.
  • !Sustainability sits with one enthusiastic organiser, and nothing survives when that person moves to another team.
What it is

A management system standard written for events. It covers how an organiser, venue or supplier identifies the issues an event creates, sets objectives, controls its supply chain and measures what actually happened afterwards.

Who issues it

This one is certifiable: an accredited certification body audits the event management system and issues the certificate. SIS audits and certifies, and cannot implement the system it then audits.

Validity

Three-year certificate with annual surveillance audits, at least one of which is normally timed to coincide with a live event.

Who gets asked for it

Event organisers and agencies, conference and exhibition venues, hotels with banqueting operations, festivals, and their staging, catering and AV suppliers.

Where this certification is demanded

ISO 20121 is applicable across 3 of the 25 industries SIS covers. The pages below set out the specific reason it comes up in each one.

What ISO 20121 Actually Requires

The backbone an implementer has to build, in the order it usually gets built.

1
Scope & Event Types

Define which events, venues and activities the system covers, and where your control ends and the client’s or contractor’s begins.

2
Governing Principles

Adopt the principles of sustainable development the standard requires, including stewardship and transparency, and turn them into a policy that binds staff and contractors.

3
Issues & Interested Parties

Identify and evaluate the sustainability issues each event type raises, and record what neighbours, clients, authorities, crew and attendees expect of you.

4
Objectives & Planning

Set measurable objectives with owners and deadlines: waste diversion rates, energy sourcing, local hiring, accessible provision, and how each will be evidenced.

5
Supply Chain Control

Build sustainability requirements into contracts and briefings for caterers, stage builders, cleaners and transport, then check on site that they were followed.

6
Measurement & Legacy

Collect real figures during and after the event, review them against the objectives, and record the legacy left behind or the harm avoided.

How ISO 20121 Certification Works

No black box. A defined, time-bound route from first call to certificate in hand.

Application & Proposal

We establish which event types and venues fall in scope, how many sites and crew are involved, whether events are owned or delivered for clients, and the audit days needed.

1–2 days

Gap Review & Readiness

Issue evaluation is the one that stalls. A team can name its material issues in a workshop, then produce nothing showing how the shortlist was reached or who signed it off.

1–2 weeks

Stage 1 + Stage 2 Audit

Stage 1 tests the documented system, issue evaluation and supply chain requirements. Stage 2 is normally timed to a live event, watching bump-in, waste segregation and crew briefing in practice.

Stage 2 timed to a live event

Certificate Issued

The certificate names the event scope, and surveillance is the part that bites: an auditor returns to a later event and compares the data you published against what the site produced.

Valid 3 years
Allow eight to sixteen weeks in total, and give us the event dates at application rather than after Stage 1, because Stage 2 has to land on a real event and calendars close early in season.

Industries That Need ISO 20121

Commonly taken alongside

ISO 14001 handles the site environmental controls, ISO 45001 covers the temporary works and crowd risks that dominate event safety, and integrating them means one audit team, one management review and roughly a third fewer audit days than certifying each separately.

Not Sure Which Certification You Need?

Three questions. The selector reads the same industry-to-standard mapping this whole site is built on, then shortlists what applies to you.

Question 1 of 3

Which sector best describes your organisation?

Certification that survives contact with a live event

The auditor will be standing at bump-in at six in the morning, watching whether the waste streams your bid promised actually get separated. Stage 2 is that morning.

What ISO 20121 Changes for Your Business

Certification is not a certificate on the wall. It is a working system that pays for itself.

πŸ“‹

RFP sections answered

Sustainability questionnaires in corporate and association tenders stop being a drafting exercise. You attach a certificate and the measured results from comparable events.

♻️

Waste and energy costs down

Segregation at source, reusable staging and honest catering numbers cut skip movements and over-ordering. The saving lands in the event budget, not in a sustainability report.

🀝

Contractors held to the brief

Requirements written into supplier contracts and checked on site stop the gap between what was promised in the bid and what happens at load-in.

πŸ“Š

Post-event reporting that stands

Clients asking for waste diversion, travel and energy figures get numbers with a method behind them instead of an estimate assembled the week after.

πŸ›οΈ

Easier conversations with authorities

Licensing, noise and waste discussions go faster when you can show a system and evidence rather than assurances about how the last event went.

πŸ”

Knowledge that stays

When the event manager leaves, the issue register, supplier requirements and lessons from previous editions stay with the organisation rather than in a departed inbox.

Frequently Asked Questions

Straight answers to what buyers ask before they commit to ISO 20121.

We deliver events for clients rather than owning them. Can we still certify?
Yes, and this is the common case. The standard applies to event owners, organisers and supply chain participants alike. What matters is that your scope states honestly what you control. An agency controls supplier selection, briefing and reporting; it does not control the client’s venue choice or the delegates’ flights, and the system should say so.
Does the auditor have to attend one of our events?
For Stage 2, effectively yes. Documented procedures tell an auditor what should happen at load-in; only a live event shows whether crew were briefed, whether the waste streams stayed separate and whether the caterer followed the contract. We book Stage 2 against your event calendar, and surveillance audits usually follow the same pattern.
What changed in the 2024 revision?
The structure was aligned with the harmonised clause layout used across modern ISO management system standards, which makes integration with ISO 14001 or ISO 9001 easier. The treatment of interested parties, governance and legacy was tightened, and the language around sustainable development principles was updated. Organisations certified to the 2012 version transition at a surveillance or recertification audit.
How big does an event have to be for this to be worth it?
Size matters less than who is buying. A venue running two hundred corporate meetings a year gets more from certification than a single festival, because the certificate is answering procurement questions every month. If your work never goes through a tender or a corporate sustainability questionnaire, the commercial case is weaker.
Can a hotel certify only its conference operation?
Yes. Scope can be limited to the event and banqueting side while the rooms operation stays outside, provided the boundary is genuine and the certificate wording makes it clear. Many properties do exactly this first, then look at ISO 21401 when they want the whole establishment covered.
Is this the same as carbon neutral certification?
No. ISO 20121 certifies that you manage sustainability issues systematically; it makes no claim about a specific tonnage of emissions. If you want to publish an event carbon figure, that is quantification and verification work under ISO 14064, and the two are often bought together because the management system produces the data the verification then tests.
